How to Calculate Time Card Hours with Lunch Breaks

1 Calculate Gross Span

Subtract clock-in from clock-out time. For overnight shifts (e.g. 10 PM to 6 AM), add 24 hours (1,440 minutes) to prevent negative results.

2 Deduct Unpaid Breaks

Subtract bona fide meal break minutes (e.g. 30 or 60 minutes) to determine actual net payable working time.

3 Convert to Decimal Hours

Divide net minutes by 60 (Minutes ÷ 60) to obtain decimal hours (e.g. 45 mins = 0.75 hrs) for payroll software entry.

Under the Fair Labor Standards Act (FLSA), bona fide meal periods (typically 30 minutes or more) during which an employee is completely relieved from duty are not counted as hours worked and are unpaid. This tool subtracts your unpaid break duration from your gross shift time before converting to decimal hours.
Under federal regulation 29 CFR § 785.48(b), employers may round employee punch times to the nearest 15-minute increment (.00, .25, .50, .75 hours). The 7/8 rule states:
  • 1 to 7 minutes: Round down to the previous 15-minute mark (.00).
  • 8 to 14 minutes: Round up to the next 15-minute mark (.25).
This rounding must average out fairly over time and cannot solely benefit the employer.
Attorneys, consultants, and auto mechanics often bill in tenths of an hour (6-minute blocks). Each 6-minute interval equals 0.1 decimal hours:
  • 1–6 minutes = 0.1 hr
  • 7–12 minutes = 0.2 hr
  • 13–18 minutes = 0.3 hr
  • ... 55–60 minutes = 1.0 hr
If your Clock Out time is earlier than your Clock In time (e.g., in at 10:00 PM and out at 6:30 AM), the calculator automatically detects a cross-midnight shift and adds 24 hours (1,440 minutes) to prevent negative time calculation errors.
